How to add your HTML email signature to Outlook

This guide walks you through installing your HTML email signature in Microsoft Outlook using the updated copy-and-paste method. Follow each step carefully to ensure your signature displays correctly.

 

Step 1 — Create a New Signature in Outlook

  1. Open Microsoft Outlook and click File in the top menu.
  2. Select Options from the sidebar.
  3. In the Outlook Options window, click Mail.
  4. Click the Signatures button.
  5. In the Signatures window:
    • Click New
    • Name your signature (e.g., MyNewSignature)
    • Click OK
  6. Assign your signature:
    • Select your email account
    • Set your new signature for New messages and Replies/forwards
  7. Leave the signature content blank for now—we’ll replace it in the next step.

Step 2 — Open Your HTML Signature in a Browser

  1. Locate your HTML signature file (provided to you).
  2. Right-click the file and open it in a web browser (e.g., Chrome, Edge, Safari).
  3. Once the signature is displayed in the browser:
    • Select all content:
      • Windows: Ctrl + A
      • Mac: Cmd + A
    • Copy the content:
      • Windows: Ctrl + C
      • Mac: Cmd + C

Step 3 — Paste into Outlook Signature Editor

  1. Go back to the Signatures window in Outlook.
  2. Select the new signature you created.
  3. Click inside the signature editing box.
  4. Paste your signature:
    • Windows: Ctrl + V
    • Mac: Cmd + V

Your fully formatted HTML signature should now appear in the editor.


Step 4 — Save Your Signature

  1. Click OK to save your signature.
  2. Click OK again to exit Outlook Options.

Step 5 — Test Your Signature

  1. Create a New Email.
  2. Confirm your signature appears correctly.
  3. Send a test email to yourself to verify formatting across devices.

Notes & Best Practices

  • Always copy from the browser view—not from the raw HTML file.
  • If formatting looks off, repeat the copy/paste process to ensure nothing was missed.
  • Avoid editing the signature directly in Outlook unless necessary, as it may break formatting.
